Job Description

We are seeking a highly organized and detail-oriented individual to join our team as a corporate Onboarding Specialist. In this role, you will be responsible for overseeing the entire onboarding and offboarding processes, ensuring a seamless and efficient experience for new hires. You will serve as a key point of contact, providing exceptional customer service, managing all necessary documentation, and coordinating with various departments to ensure compliance with employment laws and company policies. This position requires strong collaboration with internal stakeholders, to facilitate smooth transitions for employees while maintaining accurate records and adhering to regulatory standards.

Duties and Responsibilities

  • Responsible for corporate new hire onboarding and offboarding procedures.
    • Maintains effective communication with all office new hires and stakeholders providing the highest quality of customer service
    • Guides new hires through onboarding process collecting and processing all required documentation, background checks, credentials while ensuring all are valid, accurate and stored appropriately
    • Assists in educating new hires with employee benefits programs including health, dental, vision, life insurance, 401(k), wellness programs, and other ancillary benefits.
    • Collaborates with IT department in coordinating the shipment and/or assignment of company equipment, accounts and accesses.
    • Coordinates with Hiring Leaders for the onboarding, orientation and training of new personnel
    • Collaborates with Employee Relations, IT and HR departments for offboarding steps
  • Establish, organize and maintain employee records ensuring accuracy and compliance with federal, state, and local employment laws
  • Performs audits and helps develops standard procedures as needed
  • Ensures compliance with USCIS Form I-9 Employment Eligibility Verification through E-Verify
  • Communicates with the Corporate Recruitment team on all aspects of onboarding new hires while tracking and reporting all tasks
  • Provides first level support to new hires on basic benefits, payroll, and policy process queries
  • Serves as a key resource for other departments regarding all aspects of onboarding
  • Supports and executes the mission, ethics and goals of the company with a high degree of professionalism  
  • Performs additional duties as needed delegated by the Supervisor.

Qualifications

  • 2+ years’ experience in onboarding or Human Resources
  • Bachelor Degree Preferred
  • Proficient with HRIS, ATS and Microsoft applications
  • Ability to work in a fast-paced environment and maintain a high level of confidentiality
  • Effective time management, high attention to detail and sense of urgency
  • Excellent written and verbal communication skills
